Home Care Scheduler – Behind-the-Scenes Hero of Care Full-Time | Monday–Friday Day Shift | Glendora

Every dependable caregiver visit begins with a dependable schedule. As our Home Care Scheduler, you will coordinate caregivers, client needs, availability, location, and last-minute changes so clients receive consistent care and caregivers have clear, accurate schedules.

What You’ll Do

  • Build and maintain schedules. Coordinate daily and weekly caregiver schedules based on client needs, caregiver availability, location, skills, and service requirements.

  • Plan ahead. Confirm upcoming shifts, track caregiver time off and client requests, and keep scheduling records accurate and current.

  • Respond to changes. Proactively address call-outs, cancellations, last-minute changes, and coverage gaps; promptly identify and contact qualified replacement caregivers.

  • Create strong matches. Develop a working knowledge of caregiver strengths, experience, preferences, and availability to support continuity and client satisfaction.

  • Keep everyone informed. Communicate schedules and changes clearly and professionally with caregivers, clients, managers, and other internal team members by phone, text, and scheduling software.

  • Coordinate with the team. Work closely with the Care Coordinator and other office staff, escalating scheduling conflicts or client concerns when appropriate.

  • Maintain reliable systems. Enter and update information in the agency’s scheduling or home care management platform and maintain accurate documentation.

  • Support caregiver success. Assist with onboarding and scheduling readiness for new caregivers and share observations that may improve retention and service reliability.

  • Support agency operations. Answer scheduling-related calls and assist with other coordination and administrative responsibilities as needed. Share in on-call rotation with team.

What You Bring

  • One to three years of scheduling, staffing, dispatching, or coordination experience; home care or healthcare experience is strongly preferred

  • Strong organization, attention to detail, and time-management skills

  • The ability to manage a high volume of requests and shifting priorities without losing accuracy

  • Calm, resourceful problem-solving when urgent coverage needs arise

  • Excellent written and verbal English communication skills and a professional, empathetic approach

  • Comfort using scheduling platforms, CRM or home care management software, Microsoft Office, phone, and text communication

  • High school diploma or GED; additional education in business or healthcare administration is a plus

  • Ability to pass required background screenings
