  • Strong attention to detail, including experience reviewing, verifying, and reconciling data to ensure accuracy, compliance, and completeness of records.

  • Effective written and verbal communication skills, including the ability to prepare professional correspondence and provide clear, courteous customer service to stakeholders.

  • Experience maintaining records and working with financial, student, or budget-related data, including tracking and reporting on funds or accounts.

  • Intermediate proficiency in Microsoft Excel (or other spreadsheet software) and experience with enterprise systems or databases, or demonstrated ability to learn new systems and software.

Preferred Qualifications

  • Bachelor’s degree in a related field.

  • Experience working in a higher education environment, particularly in graduate education, financial aid, or student services.

  • Experience using TXST enterprise or student information systems (e.g., Banner, SAP , AcademicWorks, Logi).

  • Experience creating and presenting information to groups or facilitating workshops for students, faculty, or staff.

Job Description

The Graduate Student Funding Specialist is a regular, 12-month, full-time staff position and manages internal funding opportunities overseen by The Graduate College, ensuring compliance with relevant policies. Reporting to the Manager and working closely with the Dean and other internal funding personnel in The Graduate College, this position is responsible for processing scholarships, fellowships, and graduate assistantships, with limited administration over graduate student travel. The Graduate Student Funding Specialist focuses on award and assistantship verification, processing, and reconciliation, and works extensively in Texas State systems, such as the Bobcat Online Scholarship System ( BOSS ), Graduate Assistantship Employment Eligibility ( GRAEE ), Banner, SAP , Logi, and other enterprise systems. This role collaborates closely with academic departments and administrative TXST offices, and serves as a primary contact supporting applicants, students, faculty, and staff with relevant internal funding and policy information. Occasionally, this position will also provide presentations about student funding opportunities at events in person and online.

Job Duties

  • Initiate, process, and maintain all Graduate College scholarships and fellowships, utilizing university systems and consistent procedures for ease of tracking.

  • Review graduate assistant appointments to ensure eligibility, working with students and departments as needed for requirements.

  • Provide relevant policy and funding information for applicants, students, faculty, and staff by phone, email, and in-person.

  • Create and present information on graduate student funding at events on campus and online.

  • Support graduate student travel fund requests as needed.

  • Perform other duties as assigned.
